When to use it

The solver places most trips automatically. A handful stay unassigned every day: hard constraints, tight time windows, or a region gap. Assignment Suggestions ranks every loaded vehicle by how well it can take the trip — so the dispatcher sees three to five real alternatives instead of guessing.

Two modes:

Single trip — tick the checkbox on one row and press Suggest vehicles. The panel ranks every vehicle that can serve the trip.
Multi-trip — tick up to six trips and press Find one vehicle for N trips. The panel ranks vehicles that can take all of them on one manifest.

Multi-trip is not batch assign

Multi-trip asks “which single vehicle can absorb all of these?” It is useful for a cluster of nearby trips that should ride together. If the trips are independent, suggest them one at a time.

Reading the suggestions panel

The suggestions panel replaces the unassigned list with a ranked list of vehicles. Press Back to unassigned at any time to return to the unassigned list with your checked trips still selected.

Tier badges

Each vehicle carries a colour-coded badge:

Badge	Meaning
Best fit	Rank 1 — the cheapest placement with no violations (see How vehicles are ranked).
Good	Within $5 of the best fit; a sound alternative.
Fallback	Feasible, but noticeably more paid time, empty miles or lateness.
Far	Much costlier than the cheapest vehicle shown (more than $40 per trip). Folded away under “N more, much worse”; listed only because it fits.

How vehicles are ranked

Vehicles are ordered by what the placement would cost, in the Cost column: the paid minutes it adds at the hourly rate, the empty miles it adds at the mile rate, and any lateness it introduces at a per-minute rate. A vehicle that waits four hours for the pickup therefore ranks below one that is free when the pickup comes due, and a vehicle that would be five minutes late ranks below one 18 minutes away that is on time. Rank 1 is always the cheapest vehicle shown, so the tier badges read the same way on every request.

Two kinds of vehicle are pushed to the bottom whatever their cost: a driver holding a will-call return (waiting at a facility for an untimed pickup — the trip would interrupt that wait; the row carries the Holds will-call badge), and far vehicles, which are folded under “N more, much worse — show”. Both can still be chosen.

In the area

“In the area” is a badge and a filter, not a rank. It is measured by where the vehicle is at that hour, not by its home region: the Drive in column is the drive from the vehicle’s previous stop (or its garage, when this would be its first trip) to the pickup, and a vehicle counts as in the area when that drive is 15 minutes or less and it would not sit idle for more than 30 minutes before the pickup. In-area rows show the drive in green and carry the In area badge; tick Nearby only in the header to see only them. Hover Drive in for the idle time.

Late

The Late column is the lateness the placement introduces across the vehicle’s whole day — the new trip’s own pickup and any existing stop it pushes past its time — in minutes, on every row.

Facts line

The top-ranked vehicle shows absolute numbers: paid minutes, gap between the nearest existing stop, and the position where the trip would be inserted. Every other vehicle shows deltas relative to the best — for example +15 min paid — so you can see the cost of choosing a runner-up at a glance. Drive in is the exception: it is absolute on every row, because how far a vehicle is from the pickup is not relative to the best. Hover it for the empty drive the placement adds.

Operational badges

Small inline badges call out anything the dispatcher should weigh:

In area — the vehicle is within 15 minutes’ drive of the pickup from where it already is, and would not idle more than 30 minutes before it. A badge, not a rank.
Holds will-call — the driver is waiting at a facility for a will-call return and this trip lands inside that wait. Ranked last.
MediRoutes block / Inside MediRoutes block — the vehicle carries trips already scheduled in MediRoutes; the second form means the pickup lands between two of them (they keep MediRoutes’ times).
Far — much costlier than the cheapest vehicle shown.
Reserve — the vehicle is in the reserve pool; assigning opens a new manifest.
Opens vehicle — this vehicle has no trips yet; assigning activates it.
Co-load — the trip would ride concurrently with another passenger already onboard. Hover for the co-loaded trip IDs.
Outside filter — the vehicle is outside the active region or time filter. The suggestion engine ignores filters on purpose — a good vehicle is a good vehicle — but this badge lets you know.
Overtime — the driver would exceed the weekly overtime threshold. Hover for the projected total hours.

Multi-trip: partial placement

When you suggest for several trips at once, a vehicle might be able to take some but not all of them. The panel says “Takes 3 of 4” and lists which trips could not be placed and why, so you can decide whether a partial result is good enough or whether to try a different vehicle.

A Separately line under the header prices the other choice: the best vehicle for each trip on its own, with the total against the one-vehicle cost. Both legs of one rider on one idle vehicle can read +348 min paid because the driver waits between them; the line shows that the legs apart cost 36 and 36. Each trip there has its own Apply.

Near misses and refusals

Under the ranked list the panel shows the closest misses — vehicles that almost fit but broke one constraint — nearest to the pickup first (the Drive in column shows the drive from wherever the vehicle is), so a Pueblo vehicle whose shift starts 20 minutes after the pickup is listed even when five far vehicles fit. Each near miss names the violation in dispatcher language (the same sentences used by the Edit Confirm dialog) and shows the margin: how far over the limit the insertion lands. A miss caused by a trip already on the vehicle is prefixed with that trip’s number; hover for the other rules the vehicle hit.

Forcing a near miss

If the violation is forceable (the same rules as the Edit Confirm dialog), an Apply anyway button appears. Pressing it opens the standard edit-confirm flow with the violation pre-filled, so you can record a reason and force the assignment.

Non-forceable violations — for example, a wheelchair trip on an ambulatory vehicle — have no button. The constraint cannot be overridden.

Refusals

Some trips cannot be suggested at all — will-call returns (which follow their A-leg driver, not a chosen vehicle) and canceled trips. These appear at the bottom with an explanation. A will-call refusal includes a Go to A-leg link that scrolls the manifest to the outbound trip, so you can find the driver who will eventually pick up the return.

Applying a suggestion

Press Apply on a vehicle row. If the insertion is clean — no constraint violations — the trip is assigned immediately with no confirmation dialog. (It goes through the same edit path as a manual assign; the dialog is simply skipped when there is nothing to confirm.)

If the insertion does produce violations, the standard Edit Confirm dialog opens so you can review and force if appropriate.

Auto-recompute

After every apply the panel automatically re-ranks the remaining vehicles, because the schedule has changed. If you apply and stay in the panel, the list refreshes within a moment. The vehicle you just used may move up or down depending on how the insertion changed its route.

Undo

After a successful apply, a toast appears at the bottom of the screen for eight seconds with an Undo button. Press it to reverse the assignment immediately — the trip returns to the unassigned list and the suggestions panel recomputes. If another edit happens in the meantime and the version has moved on, the undo shows a “stale copy” notice instead of silently conflicting.

Manifest jump and highlight

When you apply a suggestion, the manifest automatically jumps to the assigned vehicle and highlights the newly inserted stops in the manifest table. The highlight fades after a few seconds. This lets you immediately verify the insertion position and surrounding stops without scrolling.

Reading the extra columns

Beyond the core facts (Late, Drive in, Paid, Shifted), three additional columns provide context for each suggested vehicle. Toggle them on or off with the column customizer icon in the suggestions header.

Timing

Shows the projected board time, drop time and slack to the appointment for the first placed trip. Board time is the later of the vehicle’s arrival and the scheduled pickup (the vehicle may arrive early and wait). A negative slack value appears in red — the trip would arrive after the appointment. When multiple trips are placed, a +N suffix links to a tooltip with the remaining trips’ times.

Rationale

A short chip after the tier badge explains why this vehicle ranked well:

fills a N-min gap — inserted into an idle gap without shifting any existing stops.
holding a will-call — the driver is waiting on a will-call return; this trip interrupts that wait.
in the area — the vehicle is within 15 minutes’ drive of the pickup from its previous stop (or garage), with little idle before it.
already nearby — less than 3 miles of empty drive to reach the pickup.
same driver as #N — the vehicle already serves this rider’s paired trip (continuity).
opens an idle vehicle — the vehicle has no other trips; assigning activates it.
reserve vehicle — held for dispatch.
end of day — inserted after the last existing stop.
lowest cost — fallback when no other pattern applies.

Headroom

Shows two numbers: daily headroom (15 h HOS limit minus the projected shift span) and the driver’s projected weekly hours. Hidden by default; enable it from the column customizer when overtime risk matters.

Continuity and WCH markers

Two small icons can appear beside the vehicle name in the suggestions row:

A link icon (sky blue) means the vehicle already carries a trip from the same rider or the linked pair partner — driver continuity. Hover for the trip ID.
A wheelchair icon (purple) means a WCH (wheelchair) vehicle is being offered for an ambulatory trip, which spends wheelchair capacity unnecessarily. Not a hard constraint, but worth knowing.

Keyboard navigation

When the suggestions panel has focus, use the keyboard to browse and act without the mouse:

Arrow Down / Arrow Up — move the focus ring between vehicle rows. Each move previews the vehicle in the manifest after a short dwell, just like hovering.
Home / End — jump to the first or last vehicle.
Enter — apply the focused vehicle (same as clicking Apply).
Escape — close the suggestions panel.

The manifest auto-scrolls to the ghost insertion rows so you can see where the trip would land without touching the mouse.

Filtering co-loads

A checkbox at the top of the panel, Co-load only, narrows the list to vehicles whose insertion would co-load the trip with an existing passenger. This is useful when you are looking for carpool opportunities specifically and want to ignore solo-ride vehicles.

Previewing a suggestion

Hover over a vehicle row for a moment and the manifest switches to that vehicle’s route with the new trips shown as ghost rows — dashed red entries interleaved at the insertion positions. Red means proposed, not yet on the schedule; once you apply, the landed stops flash green instead. Existing stops that would shift show their original time struck through and the projected time in amber.

The map draws the preview vehicle’s route with red markers and a dashed red line for the new pickup and dropoff stops.

Click a vehicle row to make the preview sticky (it stays when you move the mouse away) and to select the vehicle in the manifest. Click a different row or press Back to unassigned to clear the preview.

Workflow: placing the last unassigned trips

Unassigned panel → sort by pickup time → tick a trip → Suggest vehicles → hover to preview → Apply the best fit → repeat

For a cluster of nearby trips: tick them all, press Find one vehicle for N trips, and apply the vehicle that can take the group.

For a trip with no qualifying vehicle: read the nearest miss. If the margin is small and the violation is forceable, force it with a recorded reason. If not, the trip stays unassigned for live dispatch.
